Create templates (Folder Self Service)

Folder Self Service - Directory request is the answer from migRaven to the large number of completely uncontrolled exchange locations through which the departments exchange their files without any protection whatsoever. The directory request is a quick and easy solution to provide exchange folders for individual users or for a group of users. Once a folder has been created, all authorized users will be notified via email with the appropriate link. However, the prerequisite is that the e-mail function has been activated beforehand configured has been.

The templates are created in the Folder Creation menu (navigation: Configuration –> Folder creation), which meet different requirements according to the following criteria:

  • Storage location
  • authorization system
  • automatic deletion
  • groups
  • advanced notification list

Various templates can be created and edited again. This ensures that different options (such as permanent folders or folders to be deleted) are available for individual situations.

Create templates

The folder creation menu can be found in the web client under Configuration.

Notes

General notes to be observed:

  • The destination folder for the exchange directory should be created before and as a separate project in migRaven be scanned
  • Logs of the operations are still available after deleting the directory
  • The domain users group should be mapped to the requester role

Configuration

With Create Template you can create and edit a new template.

Activate template
Here you activate or deactivate templates. Disabled templates can not be used when creating directories.

Name of the template
Enter a unique name for your template to identify it for later use.

Template description field
Enter a description for the template to be created here.

Regex validation
(Optional) store a regular expression that is used to validate the directory name when it is created. If this field is left empty, no validation takes place. This allows the administrator to specify which (and how many) characters are allowed to be used for naming the folders.

For example:

[A-zA-Z0-9]
Specifies that the name is allowed to contain all upper and lower case letters and numbers of 0-9.

1,25 {}
Specifies that the name may be between 1-25 characters.
$
Specifies that the rules must apply to the entire string entered.

Choice of permission mode & direct/indirect mode
You can choose between exchange mode and project mode.

Directories using Rights indirectly are used to create standardized project directories, for example. In project mode, you have the option of defining a fixed directory structure with authorizations beforehand (Structure & Authorizations button), which are automatically created below the requested directory.

Im indirectly mode Authorizations are assigned directly and not via newly created groups. Ideally, use role groups for the permissions when you define the structure.

In project mode you can create complete folder structures instead of just a single exchange folder. These can either be read in via a CSV. file, or created directly in the template. If the project mode is selected, the additional menu item "Structure and Permissions" appears. Specify the structure of the subfolders to be created within the created directory.

Selection of the destination path
Configure the path where directories based on this template are created. To do this, select an available project.

Runtime activation
Here you configure whether the user can define a runtime for the directory.

Runtime configuration
If a term is activated, after the term has expired, the directory is automatically removed from migRaven deleted. For directories created in exchange mode, the deletion period is already activated by default.

renewal options
You can also set how often and how many days the user can extend the runtime after the directory has been created.

Access to the template
Here you set which users have access to this template if they want to create directories with Folder Self Service using this template. The user account search is based on the database entries of the AD scan.

  • AD Accounts: Define existing groups or user accounts from your AD, such as domain users, if all users in the domain should be able to request directories based on this template.
  • Add here the group of domain users for the migRavenWeb interface for all users within
    the domain is callable.

Email notifications
A maximum of 5 email addresses can be stored. The defined recipients will receive an email notification when a directory is created based on this template or when a directory created with this template is deleted.

Important: The stored recipients only receive the e-mail notification if the user leaves the option "E-mail notification after successful creation" activated when creating the directory. If the user deactivates the option, the recipients stored in the template will not receive an email either.

Subsequent edits to the recipient list are not taken into account for directories that have already been created using this template. However, if an account is deactivated, deleted or moved to the archive before the deletion is carried out, this will be taken into account.

Role / account configuration


To allow authorized users to see the directory request option in their browser, you must select this option as Administrator in migRaven release.

The option can be found in the migration client under Configuration Role / Account.

Roll Designer

Select the option Create a new directory for the data owner and for the requester role.

Then enter a comment in the comment field above and save the changes.
