Step 8: Config Directory Creation (Folder Self Service)


Folder Self Service - Directory application is the answer from migRaven to the multitude of completely uncontrolled places of exchange, through which the departments exchange their files without any protection.

The directory application is a quick and easy way to provide exchange folders for a limited or larger group of users.

Once a folder has been created, all authorized users will be notified via email with the appropriate link. Prerequisite is that the e-mail function before configured has been.

In this area, the templates are created that meet the different requirements according to the following criteria:

  • storage location
  • authorization system
  • automatic deletion
  • groups

Different templates can be created and edited again.

Attention: Templates can not be deleted but only deactivated. This is prevented because the audit-proof traceability of requested / created folders should be guaranteed.


The configuration menu is located in the WebClient under Configuration / Directory Request

Notes

General notes in short words that should be noted:

  • The destination folder for the exchange directory should be your own project in migRaven be created
  • Logs of the operations are still available after deleting the directory

With Create Template you can create and edit a new template.

Activate template
Here you activate or deactivate templates. Disabled templates can not be used when creating directories.

Name of the template
Enter a unique name for your template to identify it for later use.

Description of the template
Enter a description for the template to be created here

Regex validation

Specify (optional) a regular expression over which the directory name is validated during creation. If this field is left empty no validation takes place.

Example:

^ [A-zA-Z0-9] {} $ 1,25

[A-zA-Z0-9]
Specifies that the name is allowed to contain all upper and lower case letters and numbers of 0-9.

1,25 {}
Specifies that the name may be between 1-25 characters.
$
Specifies that the rules must apply to the entire string entered.

Exchange Mode

Directories using Rights indirectly are created, serve the standardized installation of eg project directories. In the project mode, you have the option of defining a fixed directory structure with authorizations (button Structure & Permissions), which are automatically created below the requested directory.

Im indirectly mode Authorizations are assigned directly and not via newly created groups (see Best Practice Mode). Ideally, use role groups for the permissions when you define the structure.

In project mode, you can create complete folder structures instead of just a single exchange folder, either through a scanned CSV. File or directly in the template can be created.



Runtime of created folders
Here you configure whether the user can define a deletion period for the directory when it is created. After expiry of the deletion period, the directory is automatically deleted from migRaven deleted. For directories created in Exchange mode, the deletion period is enabled by default.

You can also set how often and by how many days the deletion period may be extended by the user after the directory has been created.

Selection of the destination path
Configure the path where directories based on this template are created. To do this, select an available project.

Structure & Permissions

This menu item exists only in project mode. Define the substructure of the exchange folders to be created here.

Access to the template

Here you can set which users have access to this template when they request directories. There are three different ways to authorize users. Only one of the three options can be configured per template.

1. AD Accounts: Define existing groups or user accounts from your AD, such as domain users, if all users in the domain should be able to request directories based on this template.

2. migRaven Roles: Define one or more of the migRaven Roles from account management in the rich client, eg "requester". This means that all AD accounts with access to this template, which are stored in the role "Requester".

3. Department @ Domain: Define one or more departments from a domain. This approach allows you to create department-specific templates that new employees in the department can access immediately. At a department change the access is lost immediately. This type of configuration requires that the Department / Department attribute is maintained in AD.

Role / account configuration


In order for the authorized users to see the option to apply in their browser, you must select this option as Administrator in migRaven release.

The option can be found in the migration client under configuration Role / Account.

Put the tick for the point Apply for a new directory at the rolls Data Owner and requester

Each authorized user (in the configuration) will automatically be entered as Data Owner or Requester. The option of directory application must be active for the data owner for the first time.

Then enter a comment in the comment field above and save the changes.
