Classify directories with categories and tags

In migRaven.24/7 (from version 7.2.23129.1) so-called "tags" can be placed on folders and assigned to specific categories. This achieves a structuring of the directories on the meta level.

Important: migRaven itself does not trigger any automatic further processing of the information on categories/tags. users of migRaven However, it is possible to use the database via an open API and to automatically process the tagging information with PowerShell scripts according to your needs.

In this article we would like to show you examples of how you can use the user-controlled classification of directories.

The tagging of folders is multifunctional and flexible, which is why there are very diverse application scenarios and great application potential.

Examples:

  • automated classification / encryption,
  • automated moving / deleting / protecting data,
  • Archiving of directories of certain tags (e.g. according to tax retention periods)
  • Creation of an "alternative" structure, which is visible in the desktop client under My Folders.

Classic examples of using categories and tags

The list below is intended to serve as an example of categories and their tags. The use of the category/tag is described in brackets.

  • Category: GDPR (Directories relevant for GDPR)
    • applicant data (Automatic deletion of the directories after 6 months)
    • Personal data employees (deletion after exit)
    • customer data (Protection of data with AIP)
  • Category: Availability (regulation of the availability of directories)
    • Highly available (Directories with this tag remain on the central server)
    • Not highly available (Directories with this tag are allowed in the archive)
    • Long-term available (Directories are automatically moved to the D3 long-term archive)
  • Category: security classes (For encrypting data)
    • High confidential (The data in the directories are encrypted and can only be used by people who have explicit access rights)
    • Security Class: Internal (The data in the directories is encrypted but can be used by all employees in the company)
    • Security Class: External (The data of the directories are not encrypted)
  • Category: retention times (Directories with this tag are automatically archived and/or deleted)
    • Delete in 10 years (Directories are deleted after 10 years "last change")
    • Deletion after 6 months (Directories are deleted after 6 months "last change")
    • Archive after 12 months (Directories are automatically moved to the archive after 12 months "last change")
  • Category: Dependencies on applications (For applications that access directories)
    • UC4 (data exchange via tool UC4)
    • SAP (SAP accesses these directories)
